Finding your invitation

I can’t find my invitation

Invitations come from invitation@guestmark.co.za. Search your mailbox for that address or for the event’s name, and check your Junk and Other folders. Work email is often filtered before it reaches you, so the invitation may be waiting there. If your company holds messages in quarantine, your IT department can release it.

If it isn’t there either, ask the person who invited you to let us know, and we’ll check what was sent to you and send it again. Why invitations end up in Junk explains more.

The email looks broken, or the pictures don’t show

Many work mailboxes block pictures until you allow them. Use the View in browser link at the top of the email. It opens the same invitation as a web page, where you can read it and reply.

I got it on WhatsApp

Some events also send the invitation by WhatsApp, from GuestMark’s business account. The button in the message opens the same reply page as the email. You can use either one.

Replying

How do I accept?

Open the invitation and choose to accept. You’ll see a short form, usually your name and any questions the host has added, such as dietary needs. Fill it in and submit it. A confirmation appears on screen, and we send it to you as well.

How do I say I can’t make it?

Choose the option to decline, then slide to confirm. The slider is there because some company email security opens every link in a message to test it. Without it, that software could decline on your behalf without you ever seeing the invitation.

Is there a deadline?

Many events have one, and it’s shown on the invitation. After it passes you can no longer accept online, but you can still decline, which frees your place for someone else.

How do I know my reply went through?

A confirmation appears on screen straight after you submit, and we email it to you as well. If you accepted, your QR code usually comes with it. Opening the invitation or tapping the button isn’t a reply on its own: you need to fill in the short form and submit it. If you’re not sure, open your invitation link again. It shows the answer we have for you.

I got another invitation. Do I need to reply again?

If you’ve already replied, you don’t need to do anything. A second message is usually a reminder for guests who haven’t answered yet, or an update about the event, not a new invitation. Your answer is kept. To check it, open your invitation link: it shows what you told us.

Changing your answer

Can I change my answer?

Open the same invitation link again. If the event allows changes, you can update your answer and your form there. Some events don’t allow changes once you’ve replied, and the page will say so. In that case, contact the host directly.

The date changed. What happens to my reply?

When a host moves an event to a new date, your answer stays as it is and your QR code still works. The host will let you know the new details. If the new date doesn’t suit you, open your invitation and change your answer if the event allows it, or let the host know, so your place can go to someone else.

While a new date is still being decided, your invitation page says the event is postponed and replies are paused until it’s confirmed. If you receive a fresh invitation for the rescheduled event, use the newest one. Not sure whether you’re still on the list? Ask the person who invited you.

Bringing someone

Can I bring someone?

Your invitation is for you unless it says otherwise. If the host has made room for a partner or extra guests, the reply form asks for their names when you accept. The host sets how many people each invitation can bring. If the form doesn’t ask and you’d like to bring someone, ask the host.

Can someone else go in my place?

Please ask the host first. Invitations are personal and some events have limited places. If the host agrees, the person going in your place tells the team at the door that they’re attending instead of you. The team records their name, email and mobile against your invitation, so the host can see who came.

Your calendar

How do I add it to my calendar?

Once you’ve accepted, choose Add to calendar. You can pick Google Calendar, Outlook (work or school, or a personal account), or Apple Calendar and other calendar apps. The event goes in at the local time it takes place.

On the day

When do I get my QR code?

Your entry QR code appears on screen as soon as you accept, and we send it to you by email. Where we have your mobile number, it comes by WhatsApp too. On the day, we send it again about two hours before the event starts, so it’s at the top of your messages when you arrive.

What do I show at the door?

Show the QR code on your phone and the team at the door will scan it. A screenshot works just as well.

Does my QR code cover my partner?

Yes. Your QR code is your entry pass, and it covers everyone you registered when you accepted: your partner, or the guests whose names you gave us. They don’t need codes of their own. It’s easiest to arrive together. The team scans your code and checks each of you in from it. If your partner arrives separately, they can give their name or yours at the door and the team will find them on your invitation.

Anyone you didn’t register when you replied isn’t on the list. If you’d like to add someone, ask the host before the day.

My phone is flat, or I can’t find the code

That’s fine. The team at the door can find you on the guest list by name and check you in.

Your details

How are my details used?

We use the details you give us to manage your invitation and entry for this event, on behalf of the host. Our Privacy Policy explains what we keep and how to ask for it to be removed.
