What your guests receive, and when
The invitation, reminders, the confirmation and QR code, updates you approve, and the QR code again on the day. Which guests get each one, and what WhatsApp can and can’t carry.
Updated 23 October 2026
What your guests receive, in order
- The invitation, by email and, where we have a mobile number and you’ve chosen it, by WhatsApp.
- Reminders, sent only to guests who haven’t replied yet. Anyone who has answered isn’t asked again.
- Their confirmation. When a guest accepts, a confirmation appears on screen and we email it to them. Their entry QR code comes with it.
- Updates you approve, such as directions, parking, dress code or a change of plan. See below for who can receive them.
- Their QR code again on the day, about two hours before the start, so it’s at the top of their messages when they arrive. We can also send it the day before or on the morning of the event if you’d like.
Who an update goes to
An update can go to everyone invited, only to guests who are attending, only to those who declined, only to those who haven’t replied, to a list of guests you choose, or, on the day, to guests who have already arrived. Tell us who it’s for and we’ll show you the wording before it goes.
Afterwards we can show you exactly who received each message and who it didn’t reach, so you can follow up with them directly.
On WhatsApp
WhatsApp messages need to be short, a few lines rather than a full letter, and they can’t carry attachments. Documents such as a PDF programme go by email. On WhatsApp we include a link instead, for example to a map or a web page.
If a guest says a message never arrived, why some guests never see the invitation explains what to check.
